We are seeking a skilled Administrative and IT Support Assistant to manage a variety of administrative and IT support responsibilities. In this role, you will play a crucial part in overseeing key operational tasks within M3S and assisting staff with their daily IT needs. This position requires a flexible individual who can efficiently handle office tasks and provide technical support to ensure smooth operations throughout the organization.
To succeed in this role, you should have strong organizational skills, attention to detail, and the ability to collaborate effectively with diverse teams.
Responsibilities
• Support the Program Manager in planning and coordinating M3S programs and related activities.
• Organize events, workshops, and symposiums, including handling logistics and communication.
• Manage calendars, schedule meetings, and coordinate appointments for team members.
• Handle incoming and outgoing communications, including emails and phone calls.
• Prepare and edit websites, documents, reports, and presentations as needed.
• Maintain office supplies inventory and ensure the workspace is organized and efficient.
• Assist in setting up and maintaining computers, printers, and other IT equipment.
• Coordinate with external IT vendors for specialized technical support.
• Support the team with various projects and tasks as needed.
• Maintain accurate records and documentation for administrative and IT functions.
• Ensure compliance with organizational policies and procedures.
• Assist with onboarding new employees, including setting up IT systems and training.
• Provide support for travel arrangements and expense reimbursements.
Requirements
• Degree or diploma in a relevant field.
• Proven experience in administrative and IT support roles.
• Proficiency in Microsoft Office Suite and basic IT troubleshooting skills.
• Excellent organizational and multitasking abilities.
• Strong communication and interpersonal skills.
• Ability to work independently and collaboratively within a team.
• Experience in event planning and coordination is a plus.
• A proactive attitude and a sense of ownership are essential for this role.
This is a yearly-renewable contract position.
